01Who We Are

  1. Royale Ride Ltd, trading as Royale Rides, is the data controller for the personal data described in this policy. That means we decide why and how your data is used.
  2. We are a licensed private hire operator based in Greater Manchester. Our operator licence is PHO113, issued by Oldham Council.
  3. Our registered address is 15 Phethean Street, Farnworth, Bolton BL4 7LJ. Our company registration number is 15976062.
  4. If you have a question about this policy, your data or your rights, contact us using the details in section 15.

02What Personal Data We Collect

We collect only what we need to quote for, arrange and carry out your journey. That usually falls into these groups:

  • Contact details: your name, phone number, email address and a postal or billing address where one is needed
  • Journey details: pickup and drop-off addresses, dates, times, flight or train numbers, passenger numbers, luggage and any special requirements
  • Passenger details: where you book for somebody else, the name and contact number of the person travelling
  • Correspondence: enquiries, quote requests, emails, WhatsApp and SMS messages, and notes from phone calls
  • Operational records: chauffeur and vehicle allocation, waiting time, mileage and service notes for a journey
  • Billing records: invoices, amounts, payment dates and payment references
  • Technical data: IP address, browser and device type, and which pages you viewed on our website

Card details: our website does not take card payments. Where a payment is taken through a third-party provider, that provider handles the card details. We do not receive or store your full card number.

03How We Collect It

  1. Directly from you. When you complete our booking form, submit a contact or service enquiry form, call us, email us or message us on WhatsApp.
  2. Automatically from your device. Our website and server record basic technical data through cookies and server logs. Section 10 explains this in full.
  3. From somebody booking for you. A colleague, assistant, travel manager or family member may give us your details so we can carry you.
  4. From partner operators. Where a journey is arranged with a partner operator, we may receive the details needed to complete it.

If you give us somebody else's details, please make sure you are allowed to share them and that the person knows this policy applies.

04Why We Use It and Our Legal Basis

UK GDPR requires a lawful basis for every use of your data. Ours are:

  1. Performance of a contract. To quote, confirm, plan and carry out your journey, allocate a chauffeur and vehicle, send booking updates and invoice you.
  2. Legitimate interests. To answer enquiries, keep customer records, check service quality, prevent misuse, keep our website secure and defend legal claims. We balance this against your rights.
  3. Legal obligation. To meet tax, accounting, private hire licensing, insurance and law enforcement requirements.
  4. Consent. For marketing messages, where the law requires consent. You can withdraw consent at any time. Withdrawing does not make earlier use unlawful.

Please note: messages about a booking you have already made, such as confirmations, chauffeur details and arrival alerts, are sent under contract rather than marketing consent. They continue even if you opt out of marketing.

05Who We Share It With

We share your data only where it is needed to run the service or where the law requires it. The table below sets out who receives what.

We may keep data longer where it is needed for an open complaint, insurance matter, legal claim or regulatory request.

  • Erasure. Ask us to delete data, where no legal duty requires us to keep it.
  • Restriction. Ask us to pause how we use your data while a concern is resolved.
  • Objection. Object to use based on legitimate interests, including direct marketing.
  • Portability. Ask for your data in a portable format, where it applies.
  • Withdraw consent. Withdraw consent at any time, where consent is the basis we rely on.

How to use them: email info@royalerides.co.uk or write to our registered address. We reply within one month and there is no charge. We may ask you to confirm your identity first.

08International Transfers

  1. We are based in the UK and your data is normally handled here.
  2. Some of the providers we use, such as email, mapping and messaging services, may store or process data outside the UK as part of normal operations.
  3. Where that happens, we rely on UK adequacy regulations, the UK International Data Transfer Agreement, or standard contractual clauses with the UK Addendum.
  4. You can ask us which safeguard applies to a particular provider.

09Automated Decisions and Profiling

  1. We do not make decisions about you by automated means alone where those decisions have a legal or similarly significant effect.
  2. Quotes, vehicle allocation and pricing are reviewed by a person before they are confirmed.

10Cookies and Similar Technologies

  1. Essential cookies. Our website platform sets a small number of cookies needed for security, forms and basic site function. These cannot be switched off.
  2. Performance cookies. Our caching and speed tools use cookies to serve pages faster. They do not identify you personally.
  3. Mapping. Our booking form uses Google Maps Platform to suggest addresses. Google receives your IP address and the text you type into the address field, under its own privacy terms.
  4. We do not currently run advertising, retargeting or profiling cookies on this website.
  5. You can block or delete cookies through your browser settings. Some parts of the site may then stop working as intended.
  6. If we add analytics or advertising tools in future, we will update this page and ask for your consent where the law requires it.

11Security

  1. Our website runs over an encrypted HTTPS connection, so data you submit is protected in transit.
  2. We use access controls, role-based permissions and strong passwords on the systems that hold booking data.
  3. We take regular backups so records can be restored after a technical failure.
  4. We limit access to your data to the people who need it to arrange or carry out your journey.
  5. No website or storage system can be completely secure. We apply safeguards suited to the size and nature of our operation.
  6. If a breach is likely to risk your rights and freedoms, we report it to the ICO within 72 hours and tell you where the law requires it.

12SMS and Messaging Privacy

  1. If you give us a mobile number, we may text you about your quote or booking. That includes confirmations, reminders, chauffeur and vehicle details and arrival alerts.
  2. How many messages you receive depends on how much booking activity you have with us.
  3. Your mobile network may charge for messages and data.
  4. Reply STOP at any time to opt out of future messages. Reply HELP for assistance.
  5. We do not share mobile numbers with third parties or affiliates for their marketing or promotional purposes.
  6. Opt-in data and consent records are not shared with any third party, other than the providers that deliver the messaging service for us.
  7. If you message us on WhatsApp, that message also passes through WhatsApp and is handled under its own privacy terms.

13Children's Privacy

  1. Our services are aimed at adults and we do not market to children.
  2. We only hold a child's details where an adult books a journey and names them as a passenger, or tells us a child seat is needed.
  3. We do not knowingly collect personal data directly from anyone under 16 through our website.
  4. If you believe we hold a child's data that we should not, contact us and we will remove it.

14Changes To This Policy

  1. We may update this policy to reflect changes in law, guidance, technology or how we work.
  2. The current version is always published on this page with its effective date at the top.
  3. Where a change materially affects how we use your data, we will take reasonable steps to tell you.
